We are seeking a seasoned Practice Administrator with extensive experience in managing fertility practices to join our team and ensure smooth, efficient operations while upholding the highest standard of patient care.
Job Summary:
The Practice Administrator will oversee the day-to-day operations of the fertility practice, managing both the administrative and clinical aspects to ensure an optimal patient experience. This individual must have a minimum of 5 years of fertility experience managing a practice and be capable of handling the complex workflows associated with a large and dynamic clinic.
Key Responsibilities:
Administrative Management:
Oversee all administrative functions, including patient scheduling, front desk operations, and office administration.
Develop, implement, and refine practice policies and procedures to enhance efficiency and patient satisfaction.
Manage human resources functions, including hiring, training, and performance evaluations for non-clinical staff.
Ensure compliance with all regulatory and accreditation requirements (e.g., AAAASF, HIPAA).
Monitor financial performance, including budgeting, revenue cycle management, and billing.
Collaborate with the clinical team to coordinate care and streamline patient processes.
Ensure timely completion of administrative tasks such as reporting, insurance submissions, and contracts.
Manage vendor relationships and oversee the purchasing of office and medical supplies.
Process Improvement and Operational Oversight:
Identify and implement process improvements to optimize clinic operations and enhance the patient experience.
Work closely with clinical teams to ensure alignment between administrative workflows and clinical protocols.
Monitor patient feedback and satisfaction metrics, addressing any concerns and identifying opportunities for improvement.
Implement and monitor quality assurance processes to maintain high standards of care.
Manage and coordinate patient flow to minimize wait times and maximize efficiency.
Oversee scheduling and capacity management to ensure proper utilization of clinical resources.
Ensure efficient handling of patient inquiries, records management, and patient portal utilization.
Develop and execute strategic plans to meet practice goals, including growth, patient volume, and operational enhancements.

Requirements
A minimum of 5 years of experience managing a fertility or reproductive endocrinology practice.
