Health Services Receptionist

Job Summary:
Under the direction of the Director of Operations provides reception as well as clerical and administrative assistance for the Primary Care Health Service.

Job Description:

1. Serve as the receptionist for the :Primary Health Care Service:

  • Answer phone lines with accuracy, clarity and sensitivity, expediting any medical emergencies brought to his/her attention
  • Make appointments, schedule changes and messaging in an Electronic Medical Record (EMR) system. Maintain daily schedule of all clinicians within the EMR.
  • • Assist students who walk-in by scheduling appointments, answering questions, providing information, etc.; refer emergencies to the Urgent Care clinical staff immediately.
  • • Monitor waiting room and heavy walk-in flow, notifying the Medical Director or the Director of Operations of changes in flow. Keep clinicians informed regarding patient arrivals/messages.
  • • Inform students of any delays. Refer any student in need of immediate assistance to the Medical Director or the Director of Operations.



2. Assist in the processing of incoming medical information for entering students, including health insurance and immunization information. Review documents for missing information, and contact students to request additional documentation.

3. Enter insurance and other data on incoming students into the electronic medical record system; monitor registration block lists, including updates and edits.

4. Receives and processes all requests for medical records from patients and alumnae.

5. Receive payments for medications and services, deposits for medical equipment loans, process credit card payments, and give and file receipts. Hold strict confidentiality of this information.

6. Reconciles all bills for medications and vaccines by the end of each business day.

7. Sorts and delivers mail daily.

8. Perform word-processing, mailing of documents, entry of data into spread sheets; prepare signs and brochures as directed.

9. Run related errands on campus as needed.

10. Perform other related duties as assigned

11. Hold confidential ALL identifiable health information s/he may learn in the performance of his/her duties.

Skills, Qualifications & Requirements:

Required Qualifications:

  • Two years' college or business school and 1-3 years' experience, or high school graduate and 3-5 years' experience
  • Experience in working with an EMR (electronic medical record) system.



Knowledge, Skills, and Abilities

  • Excellent oral and written communication skills
  • Strong computer skills, including all programs within Microsoft Office.
  • Ability to function in a busy office environment, including the ability to multi-task on one's own
  • Able to communicate clearly and directly with diverse staff, student body and parents, both on the phone and in person
  • Good judgment and the ability to deal calmly and effectively with people
  • Excellent interpersonal skills, including tact, patience and sensitivity, and adherence to patient confidentiality concerns in an open waiting room
  • Friendly, yet professional manner. Neat, professional appearance suitable to a health services environment.
